Digitising Return to Work Compliance with Power Apps

The Challenge:
 

The organisation faced a significant compliance and confidentiality issue within its Return to Work (RTW) process. Team Leaders and Managers were completing RTW interviews on production floor computers that were not secure, and sensitive employee information was being handled in ways that risked breaching GDPR. In some cases, when HR staff were unavailable, completed paper RTW forms were left on desks for later processing, exposing personal data to anyone passing through the office.
 

The business needed a digital solution that protected employee confidentiality, eliminated paper handling, and ensured only authorised HR staff could access RTW records. At the same time, the process had to remain simple enough for Team Leaders to use in a fast‑paced operational environment.
 

A further challenge was ensuring that employee data remained hidden from Team Leaders during the RTW process. Each employee had a unique ID number known only to them, but the system had to pull their information securely without displaying it on the front end. All data needed to be stored in a controlled backend environment, accessible only to approved HR personnel.
 

The organisation also required a reliable audit trail: employees needed to receive a copy of their RTW form, acknowledge receipt, and know how to raise queries. Team Leaders needed confirmation that the RTW was completed — but without accessing confidential information. The business needed a workflow that balanced usability, security, and compliance without disrupting day to day operations.

Our Process:

When we were asked to look at the Return to Work process, it was immediately clear that the organisation wasn’t just dealing with an inefficient workflow, they were facing a confidentiality risk that could easily slip into a GDPR breach. Before touching any technology, we spent time understanding exactly how the process worked day to day on the production floor so we could prepare to clean the process up.
 

We observed how Team Leaders and Managers completed RTW interviews, where forms were stored, how information moved between people, and what happened when HR wasn’t available. We needed to see the real behaviour, not the 'intended' process written in a policy document.
 

From there, we mapped out every step, every handover, and every point where personal data was exposed. Only once we understood the full picture could we start designing a solution that was secure, practical, and easy for staff to use.
 

The Questions We Asked Ourselves:
 

As we worked through the existing process, we found ourselves asking some very direct questions:
 

  • How do we stop personal employee information being visible on production‑floor computers? These machines were never designed for confidential HR tasks, yet they were being used for them.

  • How can Team Leaders and Managers complete a Return to Work without seeing data they don’t need to see? They needed to carry out the conversation, not access private records.

  • What’s the safest way to pull an employee’s details into the system without exposing them? The unique employee ID was the key, but only if the data stayed hidden in the backend.

  • How do we make sure only authorised HR staff can access the stored RTW forms? No Production Manager, no Team Leader, no SLT should be able to open those records.

  • How do we stop paper forms being left on desks when HR isn’t around?
    This was a known breach, and it had to be eliminated completely.

  • How can we give employees their own copy of the RTW form and a way to acknowledge it?
    They needed transparency and a clear route to raise questions.

  • How do we keep the process simple enough that Team Leaders can use it without slowing down operations?
    Security is pointless if the workflow becomes unusable.
     

These questions shaped every decision we made. They pushed us to design a system that didn’t just digitise the process, it protected people, protected data, and protected the business.

The Solution:
 

Once we understood the full scope of the problem, we set out to design a digital Return to Work process that was secure, compliant, and simple enough to use in a busy production environment. The goal wasn’t just to digitise the paperwork it was to rebuild the process so that confidentiality was protected at every stage.
 

We developed a Microsoft Power Apps solution that integrated directly with SharePoint. Each employee had a unique ID number known only to them. When the employee entered their ID into the Power App, their information was pulled through automatically, crucially, it was never visible on the front end. Team Leaders and / or Managers could complete the Return to Work conversation without ever seeing personal data.
 

All information was stored securely in the SharePoint backend, accessible only to authorised HR staff. Team Leaders, Production Managers, and SLT had no access to these records. If anyone in the business needed a copy of a Return to Work form, they had to request it through HR, ensuring full GDPR compliance and controlled data handling.
 

We also built in automated email notifications. When a form was submitted, copies were sent to the employee, the Team Leader / Manager, and HR. The employee then confirmed receipt of their copy and was reminded to contact HR if they had any questions. Team Leaders / Manager received a simple confirmation that the form had been completed and sent without seeing any confidential content.
 

This approach closed the gap that had previously existed when HR staff were unavailable. No more paper forms left on desks, no more unsecured data handling. Every step was logged, every submission was traceable, and every piece of information was protected.
 

By combining Power Apps and Power Automate with strict access controls and a clear audit trail, we created a process that was not only efficient but fully compliant a system that worked for people, not against them.

The Results:
 

The new digital Return to Work process delivered immediate and measurable improvements across the organisation. By removing paper forms, eliminating unsecured data handling, and introducing strict access controls, we closed every gap that had previously put the business at risk.
 

Confidentiality improved overnight. Employee information was no longer visible on production floor computers, and the practice of leaving forms on HR desks disappeared completely. Every Return to Work form was stored securely in SharePoint, accessible only to authorised HR staff, giving the organisation a level of control and compliance it had never had before.
 

The workflow became more reliable and consistent. Automated notifications ensured that employees, Team Leaders / Managers, and HR all received the information they needed without delays or manual chasing. Employees appreciated receiving their own copy of the RTW form and having a clear way to acknowledge it and raise questions. Team Leaders / Managers benefited from a simple confirmation message that kept them informed without exposing confidential data.
 

Operational efficiency increased as well. The digital process removed bottlenecks, reduced administrative workload, and ensured that HR had a complete audit trail for every RTW conversation. Nothing was lost, nothing was misplaced, and every step was logged.
 

Most importantly, the organisation gained confidence that its Return to Work process was secure, compliant, and fit for purpose. By redesigning the workflow from the ground up, we delivered a solution that protected people, protected data, and strengthened the business.
